Use case: accounting and tax

Spreadsheets and client PDFs that stay on your computer

For accountants, bookkeepers and tax preparers who handle statements, payroll workbooks and ID documents. Vault Studio Pro opens .xlsx and PDF files in the browser, redacts account numbers so they're removed, and encrypts files for handoff, without uploading anything.

Working on a client's workbook

The spreadsheet editor opens .xlsx, .xls, .csv and .tsv files, keeps formulas and cell positions, recalculates in dependency order as you type, and saves an .xlsx with every tab. References to other tabs and whole columns work, and circular references are flagged rather than freezing the page.

The functions cover most everyday bookkeeping:

  • Totals and conditional totals: SUM, SUMIF, SUMIFS, COUNTIF, COUNTIFS, AVERAGEIF, AVERAGEIFS, MIN, MAX, MEDIAN.
  • Logic and error handling: IF, IFS, IFERROR, IFNA, AND, OR, NOT, CHOOSE.
  • Lookups: VLOOKUP, HLOOKUP, INDEX and MATCH.
  • Rounding and maths: ROUND, ROUNDUP, ROUNDDOWN, INT, ABS, MOD, CEILING, FLOOR.
  • Dates and text: DATE, YEAR, MONTH, DAY, WEEKDAY, DAYS, TODAY, LEFT, MID, TRIM, TEXTJOIN, VALUE.
  • One finance function, PMT, for loan payments.

Pivot tables (sum, count, average, minimum, maximum), conditional formatting, data validation, goal seek, named ranges, filters, remove duplicates and split-by-delimiter are included, along with currency, accounting and percent formats, frozen headers and undo and redo.

Know the limits before you open a big model

  • XLOOKUP, FILTER, UNIQUE, SUMPRODUCT and other dynamic-array functions are not supported, nor are most statistical and financial functions beyond PMT (no NPV, IRR or XIRR). They show #NAME?.
  • VBA macros are not run and are not kept when you save.
  • Charts plot one series and stay in the app; they aren't written into the .xlsx as native charts.
  • It is built for everyday workbooks, not data sets with hundreds of thousands of rows.

Pulling numbers out of client PDFs

Bank and brokerage statements usually arrive as PDFs. In the PDF editor, tables found in a PDF can be sent straight to the spreadsheet editor. Anything that looks like a formula in that table is kept as text, so a PDF can't plant a live formula in your workbook. For scanned statements, OCR recognises English text: the first page of each PDF is free and Pro covers every page. Check OCR'd figures against the source, since a misread digit is easy to miss.

CSV export saves values only and escapes cells that begin like formulas, so a CSV you hand to someone else can't trigger formula injection when they open it.

Redacting account numbers and SSNs

  1. Open the statement or return in the PDF editor and choose the redact tool.
  2. Box each account number, Social Security number, routing number and address you need to remove. The tool doesn't search for them, so scan every page, including the summary and the fine print.
  3. Save. Each page with a box becomes an image with the boxes burned in, so the numbers underneath are removed, not covered. Other pages keep their text.
  4. Search the saved copy for the last four digits to confirm they are gone.

Redaction doesn't clear the PDF's document properties yet, so check the title and author fields too. For a photo of a driver's licence or a cheque, use the blackout tool in Image Studio.

Encrypted exports for handoff and storage

Lock a return, a workbook or a ZIP of source documents in the File Safe. It uses AES-256-GCM with a key derived from your password by PBKDF2, all inside the browser. You can also export a spreadsheet project directly as an encrypted .vault. Send the file however you like and give the password by phone. Your client needs Vault Studio Pro (free for decrypting) and the password; a forgotten password can't be recovered by us or anyone else.

Honest limits for a practice

  • No SOC 2 or ISO 27001 report, no admin console, no team billing and no central policies.
  • Projects saved in the browser are not encrypted at rest. Export and delete them on shared computers.
  • No real-time co-editing; you share files, not a live workbook.
  • No integrations with accounting or tax software.

The spreadsheet, document and PDF editors, redaction and encryption are free, and PDF Tools jobs of up to 3 files are free. Pro costs $9 for a one-off Week Pass, $15 a month, $99 a year or $299 once, and every Pro feature is unlocked for the first 7 days with no card. Common questions

Which Excel functions does the spreadsheet editor support?

More than 70, including SUM, SUMIF, SUMIFS, COUNTIFS, AVERAGEIFS, IF, IFS, IFERROR, VLOOKUP, HLOOKUP, INDEX, MATCH, ROUND, TEXTJOIN, the date functions and PMT. It does not support XLOOKUP, FILTER, UNIQUE, SUMPRODUCT or other dynamic-array functions, and it does not run macros. An unsupported function shows #NAME?.

Will my client's workbook keep its formulas after I save it?

Yes, for the functions the editor supports. The saved .xlsx keeps the formulas and their last results, so it opens with the same numbers elsewhere. Charts you make in the app are not saved as native Excel charts, and VBA macros are not kept.

Can I send a client file encrypted?

Yes. The File Safe locks any file in a .vault encrypted with AES-256-GCM. Your client needs Vault Studio Pro, which is free for decrypting, and the password, which you should share by phone or another channel.

Is Vault Studio Pro SOC 2 audited?

No. It has no SOC 2 or ISO 27001 report and no admin console. If your firm's security plan requires audited vendors, check with whoever owns that plan before using it for client data.
